Within our team, the Technical Back Office Coordinator plays a key role in supporting the administrative and documentation activities of ongoing projects, contributing to the smooth execution and completion of construction contracts.
Scope of Role:
To manage and coordinate the flow of technical and financial documentation necessary for the proper execution of ongoing construction contracts, regardless of the client type (institutional or private). Ensures documentation compliance, supports the billing process, and maintains administrative communication with all stakeholders: clients, designers, site supervisors, contractors, and authorities.
Main Responsibilities:
Technical and execution documentation management:
- Organizing and updating project files (contracts, estimates, permits, PT, DTOE, DTAC)
- Coordinating the submission of documents to clients and authorities
- Physical and digital archiving of documentation
Work Progress Statements (WPS):
- Preparing monthly WPS based on actual quantities and deliverie
- Collaborating with site managers, supervisors, and the finance team for completion, verification, and submission
- Preparing attachments, annexes, and related minutes
Quality control and site records:
- Collecting and drafting minutes for hidden works, material receptions, testing, etc.
- Managing photo documentation and material traceability
Site instructions and changes:
- Tracking and drafting site instructions and change orders (COs, CRs)
- Justifying changes and preparing supporting cost proposals
Addendums and contractual correspondence:
- Preparing contract addendums
- Centralizing and sending technical and financial correspondence
- Monitoring deadlines and contractual obligations
Reporting and project closure:
- Creating weekly/monthly reports for management or clients
- Preparing project closure files
- Ensuring compliance with DNSH and audit requirements (for PNRR or grant-funded projects)
Key Requirements:
Education:
University degree in a technical, economic, or administrative field
Experience:
Minimum 2 years in construction, bidding, invoicing, or investment projects
Mandatory knowledge:
- Estimating and work progress statements
- Construction contracts and client interaction
- Advanced skills in Excel, PDF tools, and digital organization
Skills:
- Attention to detail, independence, and precision
- Written communication and relationship-building with project partners
- Ability to manage documentation for multiple projects simultaneously
Key Deliverables:
- Timely and accurate work progress statements
- Well-structured technical and financial project files
- Complete and signed site records and attachments
- Organized project-specific archives with traceability
- Effective communication with site supervisors, designers, and clients
Collaboration:
- Internal: Site managers, PMs, designers, contractors, finance team
- External: Clients (CNI, UAT, private), site supervisors, local authorities, ISC
